24-HOUR COMMUNICATION POLICY


Purpose


Hammonton Youth Soccer Association (HYSA) recognizes that youth soccer can be emotional and that parents, players, and coaches may have strong feelings following a game, practice, or other soccer-related situation.


HYSA also recognizes that the vast majority of our coaches are volunteers who generously give their time, energy, and personal time to provide our children with a positive soccer experience. We believe our volunteer coaches deserve the same respect, consideration, and courtesy that we expect them to extend to our players and families.


To encourage respectful, productive communication and to prevent conversations from taking place while emotions are elevated, HYSA has adopted the following 24-Hour Communication Policy.


The 24-Hour Rule


Parents/guardians, players, coaches, and other members of HYSA are asked to allow at least 24 hours following a game, practice, or other event before initiating communication with a coach regarding a concern, disagreement, playing time, position, coaching decision, game situation, or other matter that may be emotionally charged.


This includes approaching a coach in person, calling, texting, emailing, or using social media to address the matter.

The 24-hour period is intended to provide time and space for everyone to cool down, reflect on the situation, and approach the conversation calmly and respectfully.


Respect for Volunteer Coaches


HYSA is particularly committed to protecting reasonable time and space for our volunteer coaches.

Our coaches volunteer because they care about our children and want to give back to the community. They often balance coaching responsibilities with their own families, jobs, and personal commitments.


A coach should not be expected to immediately respond to a parent's concern immediately following a game or during an emotionally charged moment.

Giving our volunteer coaches 24 hours does not mean that a parent's concern is being ignored or dismissed. It simply provides an appropriate amount of time for the coach and family to approach the matter with a clear head and a focus on what is best for the player.


Appropriate Communication


After the 24-hour period has passed, parents/guardians are encouraged to communicate directly with the coach first whenever appropriate.

Communication should:


  • Be respectful and constructive.
  • Focus on the child and their development.
  • Address the specific concern rather than criticizing the coach personally.
  • Take place privately rather than in front of players, other parents, or spectators.
  • Allow both the parent and coach an opportunity to be heard.
  • Seek a solution rather than an argument.


HYSA encourages parents and coaches to assume positive intent and work together to resolve concerns whenever possible.


Escalation of Concerns


If a concern cannot be resolved through respectful communication with the coach, the parent/guardian may contact the appropriate HYSA board member or program representative in accordance with HYSA's established communication and conflict-resolution procedures.

Parents should not bypass the coach and immediately contact other coaches, board members, or members of the community regarding routine coaching disagreements unless there is a legitimate reason to do so.


Exceptions


The 24-hour waiting period does not apply to matters involving:

  • Immediate health or safety concerns;
  • Allegations of abuse, harassment, discrimination, or inappropriate conduct;
  • Situations requiring immediate attention to protect a child;
  • Other circumstances where waiting 24 hours could reasonably place a child or another person at risk.


These matters should be reported to the appropriate HYSA representative immediately.


Our Shared Responsibility


HYSA believes that a successful youth soccer program depends upon a partnership between players, parents, coaches, and the Association.


Parents entrust their children to our program. Coaches volunteer their time to serve those children. HYSA asks everyone to treat that relationship with respect.

The 24-hour rule is not intended to prevent communication or discourage parents from raising legitimate concerns. Rather, it is intended to ensure that when concerns are raised, they are addressed calmly, respectfully, and productively.


Please give our volunteer coaches the time and space they deserve—and in return, expect them to give your concerns the thoughtful attention they deserve.


By following this policy, we can help maintain a positive environment where our coaches feel supported, our parents feel heard, and our players remain at the center of everything we do.
